Annual Subdivision meeting minutes from 04/15/2012

“Thank you” to the 11 households who made the time to attend our subdivision meeting. We appreciate that everyone has a busy life, but this is YOUR subdivision.

Expenses from the 2011 fiscal year were discussed and, if anyone wanted to see a more detailed breakdown, a paper copy was available on request.

  1. Once again we would like to remind everyone of the 20mph SPEED LIMIT on our street. The speed limit is there for the safety of everyone on our street and should be observed at all times.
  2. Excessive noise; eg car stereos, continuous over-revving of engines, kids/teenagers out playing at night (eg basketball after dark) or hanging around the street and common ground areas. We especially ask that you please limit noise after 10pm, this is a common courtesy to all residents, we’re sure you would like the same extended to you.
  3. Our street has 4 common ground areas, they are there for the benefit and enjoyment of all residents. They offer a safe place for the kids living on the street (and their friends) to play. When leaving a common ground area it is your responsibility to clean up after yourself (they are not a place to dump cigarette butts, empty cigarette packets, soda cans and bottles, or any other kind of trash).
  4. Last year we spent $850 on asphalt patching the street. This year (2012) we plan to spend somewhere between $10,000 to $15,000 replacing a number of concrete slabs and asphalt patching smaller areas in need of repair (probably sometime in June, once we’re clear of the wet weather season).
  5. Last year we continued the upkeep and beautification of common ground areas eg.

    • Bottom Gazebo Repaired and New Plants Planted
    • “GARDEN WASTE” (located in main common ground area) dumping area was cleared and enlarged somewhat, therefore making it much easier to dump your GARDEN WASTE ONLY properly and safely. Please remember when dumping your GARDEN WASTE ONLY at the end of the fence line (this is the only acceptable area to dump), it is necessary to push it DOWN the hill as far as possible (this is easier if it is broken down into smaller pieces). This will help keep our common ground looking good.
    • A total of 455 Daffodil bulbs were planted in the 4 common ground areas.

  6. Subdivision dues have gone up from $225 to $250 annually. Without these dues our street would not be able to be maintained, improved for all living in the street. Subdivision dues enable us to cover the cost of utilities, grass cutting of our 4 common ground areas, snow removal and salting, street repairs (replacement of concrete slabs, asphalt patching, etc), and other expenses the neighborhood incurs.

  7. Please remember that, per our bylaws (refer to http://greenjade63026.wordpress.com/bylaws/), trash cans should go out to the curb NO EARLIER THAN 8pm the night prior to pick up and removed from the curb NO LATER THAN 8pm the day of pick up.
  8. Please remember that it is YOUR responsibility to clean up after your own pet while walking them (on a leash) and disposing of their waste properly.
  9. Open discussion, the main points raised by residents were:

    • Excessive noise, especially after dark, it’s un-neighborly and can easily become a nuisance.
    • Keeping our street and common ground areas clean and free of trash. Each individual is responsible for cleaning up after themselves – it’s not your neighbor’s job to do so.
    • People of all ages out playing or walking in the street need to be aware and respectful of cars going up and down the street eg not continue to play around them as they drive by, likewise cars (drivers) to need to be respectful of the 20mph SPEED LIMIT.

     
    Please remember it is our street and every resident has a responsibility for the upkeep and well-being of our street.

  10. As mentioned previously, Laura Slamp has stepped down this month (April 2012) from the Board of Trustees. Residents in attendance were asked if any of them would like to put their name forward for the vacant position on the board, no one stepped forward to volunteer. Steve and Mike (the remaining 2 board members) will therefore continuing looking for someone to join them on the board.
  11. “Property of the month” $300 cash draw: The winner in this year’s random drawing was House #301, congratulations.

Late notice: We are happy to announce we will be holding our annual subdivision garage sale again this year. Please look to the website for details.

Annual Subdivision meeting minutes from 04/17/2011

“Thank you” to the 13 households who made the time to attend our subdivision meeting. We appreciate that everyone has a busy life, but this is YOUR subdivision.

During this meeting, expenses from the 2010 fiscal year were passed around to all those in attendance.

  1. Once again we would like to remind everyone of the 20mph SPEED LIMIT on our street. The speed limit is there for the safety of everyone on our street and should be observed at all times.
  2. Excessive noise; eg car stereos, continuous over revving of engines, kids out playing at night (eg Basketball when it’s dark), driving non-licensed vehicles on our street and common ground areas (refer to http://greenjade63026.wordpress.com/bylaws/). We especially ask that you please limit noise after 10pm, this is a common courtesy to all residents, we’re sure you would like the same extended to you.
  3. Please remember that it is YOUR responsibility to clean up after your own pet while walking them (on a leash) and disposing of their waste properly.

  5. Last year we spent $18,000 on replacing a number of concrete slabs on the street and $2,000 on asphalt patching. This year (2011) it is unlikely we will replace any concrete slabs due to the limited funds the subdivision has at its disposal. We do plan to asphalt patch the worse areas in the street (probably sometime in June, once we’re clear of the wet weather season). Subdivision funds allowing, we plan to replace more concrete slabs next year (2012).

    We will also be contacting the subdivision association at the top of the street (representing the condos) to request they look into repairing the part of the street that falls under their responsibility (in front of their garages that open out onto “Green Jade Estates Drive”). As part of last year’s replacement of concrete slabs in our street, we took care of damaged slabs as far up the hill as we are responsible for.
  6. Last year, the largest beautification project we undertook of common ground areas was:

    A number of Crocus and Scilla bulbs were planted late last year (November 2010) in all 4 common ground areas. You can see the results of those plantings, along with the Daffodil and Tulip bulbs that were planted the previous year, via the below link:

    This year we have already completed one small common ground project:

    To date, the largest common ground areas project planned for this year is cleaning up the “garden waste” dumping area in the main common ground area. Please remember that when you dump your GARDEN WASTE ONLY at the end of the fence line (this is the only acceptable area to dump), it is necessary to push it DOWN the hill as far as possible (this is easier if it is broken down into smaller pieces). This will help keep our common ground looking better.

While we realize the economy is still in bad shape, we also have to keep in mind that the cost of living has continued to increase regardless, likewise the cost of maintenance of our subdivision increases; eg utilities, grass cutting of our 4 common ground areas, snow removal and salting, street repairs (replacement of concrete slabs, asphalt patching, etc), and other expenses for the neighborhood.

  10. “Property of the month” $300 cash draw: The winner in this year’s random drawing was House #213, congratulations. We do require you to be present at the meeting to be eligible for the cash prize, and this year, House #353 was drawn prior to the present winner.

Annual Subdivision meeting minutes from 04/18/2010

We would first like to thank those of you who made the time to attend the meeting. We know that everyone has a busy life, but this is YOUR subdivision.

During this meeting, a proposed budget, as well as the actual expenses from the 2009 fiscal year were presented. We will post this on the website as well. Subdivision dues have gone up from $195 to $200 annually. While we realize financial situations are still not completely recovered from last year, we are also aware that just as your cost of living has increased, so has the cost of maintenance for the subdivision.

It was agreed that the “Property of the month” recognition will continue for this year, however, will be done on a bi-monthly basis. Each recipient will receive a $50 Lowe’s Gift Card and be entered in to the yearly drawing for $300 cash. The winner this year was House #265, congratulations. We do require you to be present at the meeting to be eligible for the cash prize, and this year, two homes were drawn prior to the winner being present.

It was agreed that we would allocate $20,000 for street repairs. While we are aware that this will not fix all the problem areas, it will give us a good start. The board members will hold a “walking meeting” to determine which slabs are in the most urgent need of repair.

We would once again like to remind everyone of the 20mph speed limit on our street. It was also brought up at the meeting that there are some issues with excessive noise at night. We ask that you please limit horn honking and any other excessive noise after 10pm. This is a courtesy to your neighbor, and I’m sure you would like the same extended to you.

Please remember that per our bi-laws, trash cans should go out to the curb NO EARLIER THAN 8pm the night prior to pick up. There has been notice of excess trash on the streets and common areas, it is our street and we all benefit from keeping it clean and safe.

Please remember that it is YOUR responsibility to clean up after your own pet while walking them (on a lead) and disposing of their waste properly.

We are planning to rent a wood chipper to clear out some of the brush which has accumulated at the TOP of the yard waste dumping area. Thanks for those who have volunteered their time to take care of this. Please remember that when you dump your YARD WASTE ONLY at the end of the fence line (this is the only acceptable area to dump), it is necessary to push it DOWN the hill as far as possible (this is easier if broken down into smaller pieces). This will help keep our common ground looking better.

We had some interest in recycling availability at the meeting. At this time, Allied Waste does NOT offer this service in our area. We are looking into some other options for trash service that would offer this service. We will keep you updated via the web page.

It has been brought to the board’s attention that there are some concerns about inappropriate water drainage coming from the street above us (Shangri-La). We will attempt to contact a board member for that subdivision to see if we can rectify that problem.

We are happy to announce that a resident has volunteered to put together the annual subdivision garage sale again this year. Please look to the website for details.

We will also be arranging a subdivision BBQ for June 19th. Several families have volunteered to bring a BBQ pit, and we are asking that each family bring a side dish, any beverages you may want, and your lawn chairs. We feel like this is a perfect opportunity to get to know the people in your subdivision. Please look to the website for more details as the date approaches.

Finally, we are again asking that you please visit our subdivision website http://greenjade63026.wordpress.com for updates regarding the subdivision. This is a much more effective means of communication. We have been working hard to keep this site updated, as well as adding additional features to it. At this time, we are working to get the bi-laws posted, as well as creating a “message board” type area, where you can list “help wanted”, or “services available”.
